How to Refresh Your Business Systems (and Feel Like a Magical Badass)

Even the most powerful goblin needs to clean out their treasure hoard once in a while.Recently, I realized I was acting like a goblin with shiny object syndrome—hoarding tools, apps, and workflows that were supposed to help... but were really just overwhelming me.

It hit me one day while I was juggling six different platforms, trying to remember why I even signed up for half of them. I was spreading myself thinner than a rogue’s patience in a cursed dungeon. It was time for a business systems spring cleaning—and maybe a little bit of clarity magic.

Summon the Broom: Why I Knew It Was Time

I knew it was time when I noticed how tired my systems made me. Instead of supporting my work, they were adding more work—shiny distractions pulling me away from what actually mattered.

The first workflow I tackled? Trying to do everything all at once. (Spoiler: terrible idea.)

I sat down, got crystal clear on what my real goals were for this quarter, and made a commitment: if a tool or a system wasn’t actively helping me move forward, it was going to the scrap heap.

Goodbye, Trello. You were once a faithful companion, but right now? You’re just another scroll in an overflowing inventory.

Cast the Clarity Spell: How I Refreshed My Systems

Once I cleared some of the clutter, it was time to refresh the systems that were still worth keeping.

One big shift? The way I plan upcoming product launches for both my stationery business and my consulting work. Running two businesses means it's ridiculously easy to let projects balloon out of control. (Ask me about the time I planned three launches in one month. Actually, don’t.)

Asana became my enchanted quest board, helping me break everything down into manageable, realistic timeframes. Now, I know exactly what step comes next—and I’m not waking up in a cold sweat wondering what I forgot.

Here’s the question I ask myself whenever I’m deciding whether to fix, replace, or ditch a system:"Is this helping me move forward—or just keeping me busy?"

If it’s just busywork? It’s time to let it go. Cue Frozen soundtrack.

Release the Dead Weight: Your First Spell to Cast

If your systems feel heavy, tangled, or just plain annoying, here’s a little Hearthlight spell you can cast today:

Choose one system, app, or workflow you no longer love—and let it go.

Maybe it seemed like a brilliant idea when you first signed up. Maybe it helped for a season. That doesn’t mean you’re magically bound to it forever. Permission granted to hit "archive," "delete," or just walk away.

Make space for the tools that actually support your magic.

A Final Word: You’re Not Alone, Brave Mage

If you’re feeling overwhelmed—or even guilty—about your messy systems, hear this:

Every small business owner has been there. Sometimes it feels like we’re carrying the weight of the world (and five side quests) on our shoulders. Between businesses, families, health, and everything else, it’s a lot.

You’re doing amazing work. You have every right to be a magical badass, running your business on your terms.
